Campus Rec 101
At Campus Recreation we strive to provide a variety of high-quality program offerings that meet the recreational interests of a diverse student body. We focus on offering opportunities that facilitate positive social interaction, provide education and development, and the promote of healthy lifestyles.
Campus Recreation aims to provide these opportunities within a welcoming and inclusive environment for all individuals regardless of race, ethnicity, religion, spirituality, gender, gender identity/expression, age, sexual orientation, ability, veteran status, socioeconomic status, or national origin. Career & Self Development
Student employment with Campus Recreation is considered an extension of your education at the University of Vermont. All Campus Recreation professional staff members are committed to providing all student staff with opportunities to develop professional skills. Every position is designed to complement and enhance the academic experience and to help you develop the skills required to be successful in today’s job market. As part of the Campus Recreation employment experience, students will have opportunities to engage in development in a variety of ways that are designed to support Campus Recreation’s learning objectives, which state that through employment with student will:
- Foster a stronger sense of belonging by actively engaging with and contributing to the UVM community. (sense of belonging)

Student employees will engage in activities and discussions that encourage critical thinking about the skills that they are acquiring through their work with Campus Recreation, as well as in their extra-curricular activities and academic experiences, and how those can support the achievement of their personal and professional goals.
Leadership Opportunities
In addition to student staff positions that operate in a leadership capacity, Campus Recreation offers students optional opportunities to gain leadership experience, which includes serving as:
- A mentor in the “Friends with Knowledge” mentoring program
- A member of the Special Events Committee
- A member of the Risk Management Committee
Staff Recognition & Appreciation
The Campus Rec professional staff appreciates and recognizes all the time, dedication, and work that our student staff do to make our programs, facilities, and services run successfully. The professional staff will host at a variety of staff appreciation events throughout the year during Halloween (October), Fall semester finals week (December), National Employee Appreciation Day (March), and the annual RECademy Awards (April/May).
Employee of the Month
Two Employee of the Month awards, one in Programs and one in Operations, are awarded throughout the academic year (September through April, with December and January combined) to employees who consistently go above and beyond regular job responsibilities for that particular month.
Employees can be nominated for monthly awards by peers, shift supervisors, and/or professional staff. Awards are voted upon by the professional staff and recipients will be notified by the 15th of the following month. The employees of the month will be recognized through the Employee of the Month e-newsletter that is distributed to all staff, via the Campus Recreation staff Facebook page, Instagram, and on the TV screens through the PFG Complex. Staff members’ photos will be included on both of these platforms.
The Annual RECademy Awards
Campus Recreation hosts the Annual RECademy Awards event at the end of the spring semester where several staff awards are given to recognize Campus Recreation's exceptional student employees. Most of these awards recognize employees within each of the functional areas. Additionally, there are three annual departmental awards, including:
- Rising Star Award
- Paul Reinhardt Award for Service
- Director’s Award for Leadership

Payroll

Student Staff Employment Manual
Our Campus Rec Student Employee Manual provides information on our policies, procedures, and expectations of student staff members. It is your responsibility to review this information as all staff members are expected to be familiar with this information.
When to Work - Staff Scheduling Profile Access
When to Work is the employee scheduling system utilized by the campus recreation department. Follow the instructions below to activate and begin customizing your account.
ACCOUNT SETUP
- You will receive an email from When to Work with a temporary username and password.
- If you click the link on the email, the temporary login credentials should autofill for you. (Manually enter if it does not)
- You will be prompted to make a new username and password.
- We recommend using your NETID and then a password of your choosing.
- Once you complete those steps your account will be activated.
- You may use the web version or download the app
HOMEPAGE
- Once logged in – select “Change My Information”
- Input your cell phone and verify your email address is correct.
- Under Email/Texts Notifications: check off the choice - “All employees can see my email address”.
- Under Phones: check off the choice, “All employees can see my phone numbers”.
- Feel free to update other basic contact info as well. Do not update Items such as (payrate, ID#, and hire date) these will be updated by our admin staff.
- “View Staff List/Everyone’s Schedule”
- See everyone’s contact information (helpful for trading shifts)
- Enables you to see who you are working with for your shifts. (helpful for a walking buddy or carpool).
AVAILABILITY
- Choose times I prefer to work/Prefs (your availability)
- This is when you are available on a general week-to-week basis. It is best to update your preferences reflecting your academic schedule, recurring extracurricular activity, and other job or commitments. It is critical you keep this up-to-date to avoid schedule confusion/conflicts for everyone involved. Below is a summary of steps to set preferences. For a detailed how-to, follow this link for videos and step-by-step to creating your availability.
- Green – prefer working
- Pink – can work, but dislike the time
- Red – Absolutely cannot work
- White – no preference (may or may not be scheduled)
- We ask that you make your availability a repeating weekly preference. If there are dates that conflict with those preferences in the future (e.g., a big exam, going out of town, etc.) you can request time off and that will override the repeating preference for that day (see more information below on requesting time off). Make your availability repeating by clicking the “repeating weekly” button.
- *IMPORTANT* Be sure to talk to your area supervisor to see when this information needs to be updated prior to each week’s schedule.

- Click “Choose Times I Prefer to Work”
- Navigate to the week of the date in question
- Select the specific date on the left side of the grid and update
- This will override your repeating weekly preferences for that specific day
- Date Specific Requests
- You must request time off for times/days when you have indicated that you are set to be available on our repeating weekly availability if you cannot work a specific date. This is typically utilized for a day or period of time you need off that you know in advance (e.g., going out of town, big exams/projects, medical visit, etc.).
- Tradeboard
- The tradeboard is for use when you need to find coverage for a scheduled shift. Options for posting a shift:
- Click on the shift you would like to trade or drop
- Click “Add shift to tradeboard”
- Select your desired option:
- Trade - this option indicates that you want to trade shifts with another employee (this option provides the lowest odds of getting a shift covered as someone will have to give you a shift that fits in your schedule)
- Drop - this option means that you are looking for someone to pick-up your shift (involves no trade required)
- Either - this option indicates that a Trade or Drop is acceptable to you to get the shift covered
- You should actively communicate with your fellow staff members to find coverage for an assigned shift (i.e., text, phone call, talk during shifts). Do not wait until the last minute to find coverage.
- *IMPORTANT* a scheduled shift is your responsibility to work until you have found coverage or confirmed a swap with a peer employee on W2W.
